Information notice regarding the Processing of Personal Data related to “NEXUS2050 – The International Tech Pulse” event - that will be held at Luxexpo – The Box on 26 and 27 June 2024 in Luxembourg.

In accordance with Articles 12, 13 and 14 of the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (hereafter the “GDPR”), this information notice (hereafter, the “Notice”) explains how Nexus 2050 G.I.E. and the Luxembourg Chamber of Commerce collect, process and protect personal data in relation with your registration and participation to “NEXUS2050 – The International Tech Pulse” (hereinafter, the “Event”).

NEXUS 2050 G.I.E., groupement d’intérêt économique (economic interest group), established and having its registered office at L-1618 Luxembourg, 10 rue des Gaulois, registered with the Luxembourg Trade and Companies Register under number C180, constituted by the companies Maison Moderne – MM Publishing and Media S.A. and The Dots S.à r.l. (hereinafter, “NEXUS 2050 G.I.E.”) is the organizer of the Event.

The Luxembourg Chamber of Commerce, organized according to the amended law of 26 October 2010 reorganizing the Chamber of Commerce and having its registered office at L-1615 Luxembourg, 7, rue Alcide de Gasperi (hereinafter, the “Chamber of Commerce”) is the Global Partner of the Event.

In terms of the processing of personal data for registrations and participations to the Event, NEXUS 2050 G.I.E. and the Chamber of Commerce are the joint controllers of the processing (hereinafter, the “Joint Controllers”).

Should you have any questions regarding this Notice or if you wish to exercise your rights as described in section 10 below, you are invited to send an e-mail to the following address: privacy@nexus2050.com.


3.     What personal data are processed?

The Joint Controllers process the following personal data regarding you: identification data, contact details, professional data (such as company affiliation, position, country, profile, sector, year of creation of the activity, website, organization logo, data related to matchmaking (such as appointment times and people met…) data related to your image (hereinafter, “Your Personal Data”).

In any case, the Joint Controllers are committed to respecting the principle of minimization of Your Personal Data processed and ensure that only data that is adequate and relevant in relation to what is necessary for the pursuit of the purposes is processed.

 

4.     How is Your Personal Data collected?

Your Personal Data are collected directly from you during your registration for the Event, they can also be collected indirectly when they are generated by the Joint Controllers (such as data related to matchmaking appointments).


5.     Why is Your Personal Data processed?

Your Personal Data are processed in order to carry out your registration for the Event, to allow your participation in it and, where applicable, to allow the organization of B2B appointments for the matchmaking.


6.     What is the legal basis for the processing of Your Personal Data?

The processing of Your Personal Data is necessary for the execution of a contract concluded between you and the Joint Controllers.

In addition, your consent is sought if you agree on the registration form to be contacted for future events.


7.     Who are the recipients of Your Personal Data?

For the organization, participation, and realization of the Event, the staff of the Joint Controllers who participate in the organization of the Event have access to Your Personal Data.

The Joint Controllers may be required to transfer some of Your Personal Data, strictly necessary for the purpose of the processing, and subject to the existence of contractual guarantees to ensure their security and confidentiality, to institutional partners or service providers, including their data hosts.

Furthermore, the following companies which provides tools to the Joint Controllers are recipient of Your Personal Data:

-       EVENTBRITE, which is the tool allowing your registration for the Event; and

-       SWAPCARD, which constitutes the event tool for the publication and management of your profile during the Event and, where applicable, for participation in the matchmaking organized there.

 

8.     Do the Joint Controllers transfer your Personal Data outside the European Union?

Your Personal Data related to registration for the Event may be transferred outside the European Union and more specifically to the United States due to the use of Eventbrite. This country does not benefit from an adequacy decision from the European Commission. As a consequence these transfers are subject to appropriate safeguards (such as standard contractual clauses and any additional measures) to ensure at all times an adequate level of protection for the transferred data. How long are Your Personal Data kept?

Unless if you have explicitly agreed, during your registration, to be contacted for future events, Your Personal Data provided during your registration and participation are kept for 24 months after the Event.


9.     What are your rights?

You can exercise your rights of access to Your Personal Data, opposition, rectification of inaccurate data, and limitation of processing at the following address: privacy@nexus2050.com.

You also have the right to lodge a complaint with the Commission nationale pour la protection des données (National commission for data protection), established at L-4370 Belvaux, 15, boulevard du Jazz (www.cnpd.lu) or with the competent supervisory authority of the state of residence or the place of the alleged offense.

By registering for the Event, you are informed by the Chamber of Commerce and NEXUS 2050 G.I.E. acting each as sole controller and you agree that:

-       on the one hand, you may appear in photographs and/or video images taken at the Event; and

-       on the other hand, part of the Event may be recorded (sound and/or video image) and possibly broadcast, either live and/or after the Event.

The photos and/or recording of the Event and where applicable their dissemination, are for the purpose of communication related to the Event consisting in the publication and/or dissemination in the various communication media of the Chamber of Commerce such as MERKUR, websites, newsletter, social networks (LinkedIn, Facebook, Twitter, Instagram) channel on a video sharing platform (Vimeo, Youtube), etc. These images can also be transmitted to the press (ex: Paperjam, Delano, RTL).

These images are kept for a period of 10 years in the databases of the Chamber of Commerce. At the end of the retention period, the Chamber of Commerce proceeds to the destruction of the images. However, images whose historical interest justifies it may exceptionally be subject to further processing for the purpose of archiving in the public interest pursuant to the amended law of August 17, 2018.
